Wayleave and Projects Coordinator
We are seeking a highly organised and detail-oriented Wayleave and Project Administrator to join our Build Division.
Role Summary:
This role is responsible for coordinating wayleave applications, project administration, stakeholder engagement, and financial administration to support the successful delivery of fibre network infrastructure projects.
The successful candidate will work closely with municipalities, contractors, regulatory authorities, internal project teams, and other stakeholders to ensure projects are delivered efficiently, compliantly, and within agreed timelines. This position requires a proactive individual with strong administrative, communication, and stakeholder management skills.
Responsibilities:
Manage and coordinate wayleave applications and approvals for network infrastructure deployment.
Engage with municipalities, regulatory bodies, landowners, and community representatives to obtain required permissions.
Conduct route planning using GIS and Google Earth.
Coordinate site surveys and assess findings to identify potential risks and obstacles.
Ensure all wayleave documentation complies with municipal bylaws and regulatory requirements.
Maintain accurate records, reports, and databases for audit and compliance purposes.
Assign approved projects to contractors and communicate project expectations and milestones.
Monitor project progress and ensure compliance with wayleave conditions.
Provide regular project status updates to internal stakeholders.
Assist in mitigating project delays by addressing regulatory and stakeholder-related challenges.
Maintain complete and accurate project documentation.
Prepare purchase order and invoice packs in accordance with company policies.
Ensure all required approvals are obtained prior to submission.
Assist with budget tracking and financial forecasting.
Coordinate procurement-related documentation, quotations, and approvals.
Resolve project-related financial queries and liaise with the Finance Department.
Manage and resolve stakeholder queries and escalations within agreed timelines.
Coordinate responses to complaints and enquiries received through the wayleave mailbox.
Build and maintain positive relationships with internal and external stakeholders.
Qualifications Required:
Matric
Post matric qualification in Project Management
Work Experience:
Minimum 5 years' experience working with municipalities and managing wayleave applications.
Experience within telecommunications, fibre optics, civil planning, or project management environments will be advantageous.
